This Privacy Policy governs the manner in which Sydenham Tennis Club ( “the Club”) collects, uses, maintains and discloses information collected from users of the website (“ the Site”) and members of the Club (collectively referred to as “Users”). This privacy policy applies to all products and services offered by the Club.

For the purposes of the Data Protection Act 1998 (the Act) the data controller is Sydenham Lawn Tennis Squash and Croquet Club Ltd of Lawrie Park Road SE26 6ET. Our nominated representative for the purpose of the Act is Dez Lewington.

Information that you give us
You may give us information about you by filling in our membership application forms, competition, or league or other event entry forms, coaching forms, forms for Community Tennis or any other paper based forms.
You may also give us information when you use other internet applications or software used by the Club such as MyCourts or Club Spark or any other software used by the Club for the purpose of leagues, court bookings, coaching, membership or other purposes.

When using the Site or when using any other software used by the Club, the Club may collect personal identification information from Users in a variety of ways, including, but not limited to, when Users visit our Site, register on the Site, respond to a survey, fill out a form, and in connection with other activities, services, features or resources we make available on our Site. Users may be asked for, as appropriate, name, email address, mailing address, phone number. Users may, however, visit our Site anonymously.
We will collect personal identification information from Users only if they voluntarily submit such information to us.  To provide a list of members in the Club foyer
 To send you emails with details of news and events about the Club
 To send you occasional questionnaires relating to the Club or its services
 To send you details about renewal of your membership by email
 To send you papers regarding Annual General Meetings, Extraordinary General Meetings or any other meetings of the Club
 To notify you about changes to our services
 To display information on the site or on software operated by the Club of team, tournament, or league results
 To display information of the names of staff employed at the Club and contractors and volunteers ( including team captains) who may carry out services at the Club from time to time.
 To collate information to enable us to administer the Club and the Site and other software used by the Club

We do not sell, trade, or rent Users’ personal identification information to others. We may share generic aggregated demographic information not linked to any personal identification information regarding visitors and Users with our business partners, trusted affiliates and advertisers for the purposes outlined above. We may use third party service providers to help us operate the Club and the Site or administer activities on our behalf, such as sending out newsletters or surveys. Information which is available to members on software used by the Club
The Club uses software to run a court booking system and leagues for tennis, squash and racketball, with individual profile pages which share the following personally identifiable information amongst logged-in members of the Club
 Booking sheets which display the names of the members who have reserved the courts
 Members’ Directory with links to the members’ individual profile pages
 Member Profile pages which include first name and surname and other information which may have been voluntarily added to the software by the member, such as phone numbers, email address and profile images
 League positions and league results

Display of contact details in the Club
The Club will display your name and contact telephone number in the Club foyer. If you do not want your information to be displayed in the Club foyer please contact the Club direct on

Third party websites
Users may find advertising or other content on our Site that link to the sites and services of our partners, suppliers, advertisers, sponsors, licensors and other third parties. We do not control the content or links that appear on these sites and are not responsible for the practices employed by websites linked to or from our Site. In addition, these sites or services, including their content and links, may be constantly changing. These sites and services may have their own privacy policies and customer service policies. Sensitive Personal Data
We may ask for details of your child’s health to ensure the well-being of your child when on our coaching programme. Apart from this the Club will not collect sensitive personal data except where required to by law.

The Club may take photographs of film events and these may be published on the Club website, social media platforms etc, or be displayed at the Club. We will not display such photographs unless we have the written or verbal consent of an adult or written parental permission of a child, to use such photographs.

Where we store your personal data
We store the data that we collect from you on our own secure servers. The Club will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.
Where you have been given a password which enables you to access parts of our website or any of the other software that is used by the Club to provide services to Users, you are responsible for keeping this password confidential. The Club requests that you do not share this password with anyone.
Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website or any of other online services: any transmission is at your own risk.
